The Organisation:
Our client, Ngāti Whakaue Tribal Lands has long been established since 1960 and has experienced substantial growth. Ngāti Whakaue exists to be a significant contributor to the wellbeing and advancement of their lands and its people. Their mission is to safeguard and improve corpus lands, grow assets, build capacity and increase the wellbeing of Ngāti Whakaue.
The Role:
The position of Administration & Engagement Coordinator is largely focused on two key areas; Front of House Engagement and Administration Support Services. Delivery and provision of communications and various administration functions will form the basis of a diverse and rewarding role.
The Tasks:
- Respond to all lines of communication; online, phone, written and walk-in enquiries
- Coordinate information in conjunction with projects and events
- Manage and distribute legal documentation with key stakeholders
- Provision of database administration and share registry services
- Data archiving of shareholder information
- Preparation of all functions relating to Board Meetings; board packs, collating and distributing information, proofing and editing, setting up meeting rooms
- Distribute minutes and undertake follow up actions
- Organisation of AGM’s and preparation of monthly and annual reports
- Distribute grants, schedule meetings and present recommendations to management
- Provide IT and technical support to wider group
- Maintain policies and procedures manual, asset register, security and official documents
About You:
- Previous experience in a wide range of senior office positions
- Professional communicator who forms genuine relationships
- Skilled with juggling numerous tasks
- Experience in Board Meeting support
- Existing knowledge and understanding of monthly and annual reporting
- Proficient in a variety of software programs and familiar with IT systems
- Willing team player that works collaboratively
- Robust work ethic and strong integrity
- Ability to use initiative and think beyond the role
- Affiliation with tribal connections an advantage
